  1. Execution of the booking process and the apartment rental agreement – the legal basis is the necessity of processing to perform the agreement or to take action upon request before its conclusion (Article 6, paragraph 1, letter b of the GDPR).
  2. Fulfillment of legal obligations – including tax, accounting and any registration obligations (Article 6, paragraph 1, letter c of the GDPR).
  3. The legitimate interest of the Controller – consisting in securing, pursuing or defending against possible claims (e.g. in the event of damage to the apartment), as well as ensuring the safety of property (Article 6, paragraph 1, letter f of the GDPR).
  4. Handling enquiries and contact – via contact forms, e-mail or telephone (Article 6(1)(f) of the GDPR – legitimate interest in communicating with potential customers).

§ 3. Category and source of data acquisition

  1. We process data such as: name and surname, address, e-mail address, telephone number, reservation details (date of stay, number of guests), and in the case of issuing invoices – company details (NIP, name, address).
  2. We collect data directly from you during the booking process on our website, or through external booking portals (e.g. Booking.com, Airbnb) that you use to book your stay at Popi Apartments.

§ 4. Data storage period

Your personal data will be stored for the period of:

  1. Necessary for the execution and finalization of the lease agreement.
  2. Required by tax and accounting law (typically 5 years from the end of the calendar year in which the tax payment deadline related to the service expired).
  3. Until the statute of limitations for any claims arising from the lease agreement expires.

§ 5. Data recipients

For the proper provision of services, your data may be transferred to trusted third parties with whom the Administrator cooperates. These include:

  1. Reservation management system provider (Smoobu software).
  2. Entities handling electronic and card payments (payment gateways).
  3. Accounting and bookkeeping office serving the Administrator.
  4. Entities providing IT services, hosting and technical support for our website.
  5. Cleaning and technical staff responsible for preparing the apartment (only to the extent necessary to carry out their duties).

The Administrator does not sell or share your data with third parties for marketing purposes.
